Employability Award Conditions of Participation
The Employability Award is a structured program that recognises the personal and professional development you can gain from your involvement in activities above and beyond your academic studies.
As a learning program it will guide you through a range of experiences and reflections to help you unlock your potential and effectively communicate it to others.
2. Registration
2.1 A student can register to participate at any time during their degree by completing the Employability Award Registration form via StudentHub. This form can be accessed via employability.uq.edu.au/award
2.2 A student registering for the Employability Award program acknowledges that it is a non-academic program and therefore no academic credit will be awarded towards their degree program.
3. Program requirements
3.1 The program requirements outline the actual number of hours and/or activities that must be completed to progress to the Application stage of the program. The program requirements are split into three categories which are as follows:
- 75 hours of Work Experience; and
- 75 hours of Volunteering; and
- 5 Supplementary activities.
3.2 All activities completed towards the Award must be extra-curricular (i.e. not contributing to course credit or degree requirements), with the exception of a Student Exchange Program, or Short Term Global Experience.
3.3 Activities that have been completed whilst enrolled at the University of Queensland can be included towards the program requirements.
3.4 Activities that have been completed prior to registration in the program can also be included towards the program requirements so long as section 3.3 applies.
3.5 Activities completed in a previous program of study at UQ can be included as long as the transition between the previous program and current program of study was continuous (i.e. graduated and then enrolled in the new program of study the following semester).
4. Eligible activities
4.1 A definition is available for each activity category (as outlined in section 3), to help students understand what types of activities are eligible for inclusion. These are as follows:
4.1.1 Work Experience activities performed (in the workplace or virtually) which supports the day - to - day running of the organisation to meet their business objectives. Can be paid or unpaid.
4.1.2 Volunteering - An activity that is undertaken for the main purpose of benefitting someone else, such as a church, sporting club, government school, charity, or community organisation, for which you do not receive payment.
4.1.3 Supplementary Activity - An activity that is purely for your own development. Involvement can lead to the development of either personal and professional capabilities or attributes.
4.1.4 An online Activities Guide provides further structure and advice on what types of activities are eligible towards completion of the program. This guide should be reviewed by all participants.
4.2 Additional guidelines apply for supplementary activities, these are as follows;
4.2.1 Supplementary activities must be completed across five (5) different Activity Types to achieve diversity of experience. Therefore, if a student records two supplementary activities of the same Activity Type, they will not be eligible to progress to the application stage.
4.2.2 Completion of an Online or Face to Face course/program must require the participant to be involved in course content for a minimum of five (5) hours to be deemed eligible as an Activity Type.
4.2.3 Participation in a conference should take place over one or more days (this includes in-person or virtual conferences).
4.3 Activities cannot be recorded across two different categories.
4.4 Activities can be completed either within the University of Queensland or with external organisations.
6. Recording activities
6.1 To generate evidence of the completed program requirements and demonstrate what has been learnt, a student is required to record and reflect on their experiences in the Employability Award workflow within StudentHub.
The process of recording and reflecting should take place shortly after a student;
- completes an activity; or
- concludes their engagement with an organisation for the purpose of Work Experience or Volunteering.
If Work Experience or Volunteering hours were accrued across multiple organisations, a separate record for each will need to be lodged in StudentHub.
7. Application process
The application process consists of two stages, a written application and an interview.
7.1 The application process can only be undertaken if the student has completed, and recorded and reflected on all the program requirements as per section six (6); and all the activities are deemed eligible as per the Activities Guide.
7.2 Written applications can be submitted at any time during the year but will not be reviewed until the next available application round. Written applications must be submitted by 11:59pm AEST on the specified due date for the upcoming round.
7.3 The application criteria is subject to change. Prior to submitting an application, students are encouraged to check the Employability Award website to access the most recent application and interview guides.
7.4 Rubrics are available to support students during the written and interview stage of the application process.
7.5 A student will be unable to receive the Award if;
- they fail to book an Award interview in StudentHub within the specified time period for the application round;
- they fail to notify the Student Enrichment and Employability Development team in advance of their inability to attend a scheduled Award interview;
- the student is unable to demonstrate competency in communicating their employability during the written application and/or interview process (despite having access to the rubrics and the opportunity to re-submit following feedback).
9. Other requirements
By registering for the Employability Award program a student also agrees to the following requirements:
9.1 The student must abide by the Employability Award Conditions of Participation included herein and all related University policies, particularly the Student Charter and Student Integrity and Misconduct policy.
9.2 The student must provide Student Enrichment and Employability Development with information that is true and correct and notify the University of any change to information as it occurs.
9.3 The student will not be eligible to receive the Award if they fail to satisfy the Conditions of Participation.
9.4 The student must maintain satisfactory academic progress in accordance with Enrolment and Academic Progression.
9.5 The student may be de-registered from the program or have their Award allocation revoked if the information they provided is found to be incorrect or incomplete.
9.6 The student is responsible for providing any additional verification documentation if requested by the Student Enrichment and Employability Development team.
9.7 The student agrees to share their contact details with Student Enrichment and Employability Development in their graduating year to connect with the UQ Alumni community.
9.8 The student agrees to receive regular communication from Student Enrichment and Employability Development related to the Award program and other activities that could enhance employability.
9.9 The student understands that their personal information will not be disclosed to any external third party without written consent.
9.10 The program’s structure and requirements are subject to change at any time at the University’s discretion.
