Application to, and participation in, one of The University of Queensland’s Global Experiences is subject to the following terms and conditions:

  1. Although UQ may accept me to participate in a Global Experience, officials at the Host Institution or Host Organisation will make the final decision regarding the outcome of my application.
  2. The period of the Global Experience is outlined in my application. I cannot extend my experience at the host institution once I have been accepted by UQ.
  3. The University of Queensland will share relevant personal and academic information with Host Institution or Host Organisation and this information may be subject to the privacy provisions of the host country. 

UQ Requirements

  1. I am responsible for ensuring that my contact details on MySI-net are accurate.
  2. I am responsible for checking my UQ email account regularly. If I wish to use an alternative email I will arrange for my student email to be forwarded to that account. This can be set up through UQ Connect at the following website: UQ Student Email Redirection Options.

University Representation and Conduct

  1. While preparing for and undertaking my Global Experience, I am a representative of The University of Queensland and will abide by the UQ Student Charter and all other policies that guide student conduct.
  2. Throughout my Global Experience, I will abide by the standards, policies and regulations of any Host Institution or Host Organisation forming a part of this program. If I fail to meet or abide by the relevant standards, policies or rules of the Host Institution or Host Organisation, or otherwise cause concern, these organisations may notify UQ of my behaviour.

Courses, Enrolment and Credit

  1. I am responsible for seeking approval for the courses that I intend to undertake at the Host Institution and obtaining approval from my Faculty for any changes to these courses while studying.
  2. Neither UQ nor the Host Institution can guarantee that courses for which I have received approval (from UQ) will be available at the time of enrolment at the Host Institution.
  3. I am responsible for arranging alternative assessment at the Host Institution if the standard assessment/exam period clashes with the UQ semester that follows my Global Experience.
  4. I am responsible for catching up on any missed courses content and assignments, informing the relevant academics of my absence, and enrolling in UQ courses before the appropriate deadlines.
  5. Failing a course/s while participating in a Global Experience may result in the lengthening of my UQ program.
  6. I am responsible for ensuring that an official academic transcript is provided by the Host Institution to UQ to enable credit to be processed, and I am responsible for ensuring that my UQ academic record (MySI-net) reflects this credit within six months of the end of my Global Experience.
  7. I am responsible for researching and understanding the full financial implications involved in my Global Experience and agree to pay all required fees in full by the published deadlines to the appropriate recipients.
  8. The University of Queensland is unable to record the grades obtained from study at another institution as part of the credit transfer towards a UQ program; therefore, the grades I receive from my Global Experience will not count towards my Grade Point Average (GPA) at UQ. However, UQ will consider these results in the determination of University Medal calculations in accordance with UQ policy and Senate Rules). I understand that results received from a Global Experience may also be taken into consideration when applying for Medical School, honours, and post-graduate studies etc.

Sponsored Students/Students in Receipt of Foreign Scholarships

  1. I am responsible for confirming with my sponsor, International Scholarships, and/or UQ Scholarships whether I am eligible to participate in a Global Experience, and how this may impact my sponsored status.

International Students

  1. I am responsible for researching the impact that my participation in a Global Experience may have on my current and future visa status in Australia, including the timelines for completion of my study.

Additional Requirements for Exchange

  1. I understand that UQ will automatically enrol me in EXCH codes on My SI-net for the period I am on Exchange:
  1. I am responsible for ensuring that I am correctly enrolled at UQ (on MySI-net) in order to receive credit towards my UQ degree for any study I am undertaking.
  2. I will be charged tuition fees commensurate with the number of units in which I am enrolled at UQ while studying abroad. I understand that I am required to pay for the units in which I am enrolled at UQ (according to my fee status) regardless of the number of units granted towards my UQ degree for the courses undertaken at the Host Institution.   3. I understand that undertaking exchange in the last semester of my current degree program will likely delay my graduation due to the fact that timelines for obtaining an official academic transcript from the Host Institution may not align with UQ graduation deadlines.

Additional Requirements For Internships

  1. I understand that this work experience is not a mandatory component of my enrolled program.
  2. I understand I must not undertake work experience for more than 30 days in a calendar year.

Travel Arrangements

  1. I will not finalise travel (purchase flights in full, pay for accommodation in full etc.) until any course equivalency requests have been approved by my Faculty, I have received an official acceptance letter from the Host Institution or Host Organisation, and have obtained my student visa (if required).
  2. I am responsible for managing my own accommodation, transport, passports and visas for my Global Experience.

Insurance Coverage

  1. I must create a profile in International SOS and complete my personal and travel details within that profile to activate the UQ Corporate Travel Insurance cover for the duration of my Global Experience.
  2. I understand that UQ Insurance will only cover me for the country in which my Global Experience takes place.
  3. I am responsible for ensuring that I have any health and travel insurance coverage required by my Host Institution or Host Organisation.

Safety and Security

  1. I am responsible for my own safety and security while traveling overseas to undertake my Global Experience.
  2. I am responsible for registering with Smartraveller, or my own government’s Foreign Affairs registration system if I am not an Australian citizen so that my government will be able to contact me in times of emergency.
  3. I am responsible for checking the Department of Foreign Affairs and Trade website to check travel advisories before booking any travel.
  4. I understand that UQ cannot support participation in a Global Experience in any country that is allocated a Smartraveller status of ‘reconsider your need to travel’ or higher: I understand that I may incur financial losses if this status changes between application to and commencement of my Global Experience.
